This package is perfect for those who wish to take care of all the preliminary planning but understands the importance of having a coordinator.  Solano Events will help manage all the details in the final quarter of your event. I will be involved a month or so prior to the event and take the lead from there. I will gather all the information of the event and go over any detail that may have been missed in the planning process. I will lead all the vendors to ensure everything is organized and runs smoothly, from start to finish. This will give you the luxury to relax and celebrate your moment without any “day of” details.

Preparation

  • First consultation – 2 hours | 3 face meetings
  • Unlimited phone and email contact
  • Develop timeline and production schedule for event day.

Vendor Selection and Coordinating

  • Distribute timeline to all vendors week of the event.
  • Assuming responsibility for all vendor contact for 1-2 weeks leading up to wedding day
  • Relay final head count to appropriate parties
  • Oversee set and design of event areas (Ceremony & Reception)
  • Ensure proper placement of seating cards, event programs, favors, etc.
  • Manage and oversee reception program (i.e. band, speeches, dances, etc.)

Wedding Rehearsal

  • Ceremony rehearsal coordination 2 hours with wedding party lineup
  • Receive all personal items for ceremony and reception (i.e. escort cards, guest book, favors, etc.)
  • Final walkthrough at reception and ceremony site/set up

Wedding Day

  • Day of: On-site coordination/ supervision for ceremony/ reception. Includes arrive early to supervise/ assist vendors in delivery and set up
  • Coordinating the rehearsal, wedding ceremony, and reception
  • Supervise event load-in,
  • Use of wedding day emergency kit
  • Manage the timing of the event with wedding party, family members, and vendors
  • Décor needs to be at the venue by bride already
  • Final inspections on setup, seating placements/count, table/escort cards, décor, etc. (as per instructions and session discussions)
  • Greet guests
  • Coordinate with musicians on ceremony song selections
  • Cue ceremony
  • Review reception activities and timing with band or MC/DJ and photographers/videographers
  • Coordinate reception activities – grand entrance, first dance, cake cutting, toasts, etc.
  • Oversee set and design of event areas (Ceremony & Reception)
  • Setup personal décor
